Keeping Track of Donations

Every month, I take time to really look at how we’re using the money you’ve trusted us with. Being transparent isn’t just something I say - it’s something I’ve built into how Seeds of Hope and Fields to Future actually run.
To make sure everything is clear and accountable, our partners in Kenya fill out detailed monthly expense reports and send them back with receipts for every purchase. These forms help m - and you - see exactly where the money is going.
For our Fields to Future students, the report focuses on their education and daily needs. It includes sections for tuition, exam and administrative fees, books and learning materials, personal supplies, internet access, and transportation. At the end, they calculate the total amount they received, how much they spent, and how much is backed up by receipts. This helps me make sure students are fully supported while also staying responsible with every dollar.
For Seeds of Hope farmers, the report is a little different because it tracks everything needed to grow food. It includes seed purchases, fertilizer, plowing and field preparation, transportation, labor, and any extra costs like tools or pest control. But what I love most is that it also includes a progress update - things like crop stage, expected harvest, how many families will benefit, and even notes about the weather. It turns the report into a real story about what’s happening on the ground.
Both forms require receipts and detailed descriptions, which makes a huge difference. It means nothing is vague or uncertain - everything is documented, checked, and understood.
For me, reading these reports is one of the most meaningful parts of what I do. I’m not just looking at numbers - I’m seeing students working toward their future and farmers growing food for their communities. I get to understand their challenges, their progress, and how your support is showing up in real life.
These reports also help me plan ahead. If I notice patterns - like rising costs or ongoing needs - I can make better decisions about how to use future donations in the most impactful way.
